Job Purpose
This role will provide valuable assistance to the IT projects team and the candidate must understand the individual projects and support the Project Managers in 4 key areas – finance; risk, issue and change; reporting and planning.
The candidate must have the ability to deputise for the project managers and to provide progress updates when requested. The candidate should act as the ambassador of the PSO and ensure all IT projects adhere to the PSO processes while supporting the Project Manager.
Principal Responsibilities
Change, Risk and Issues
Update Risks and Issues log with Project Managers on a weekly basis and highlight any new Red or Amber risks on the relevant weekly report
Ensure strict adherence to change management. All changes to project scope, are documented, agreed and signed off prior to commencement.
Reporting
Ensure weekly and monthly progress reports are produced by the Project Managers and ensure timely submission to the IT PSO.
Financial
Create and maintain budget tracking spreadsheet with input from Project Manager
Update Oracle Projects with financial information within the strict deadlines
Ensure project resource tracking is kept up to date, updating resource forecasting and tracking as an input to project budgets
Raise purchase orders and variations, and receipt of orders on advice from Project Manager
Assist with populating and managing the project asset register for each financial project and provide appropriate information for capitalisation and closure of projects.
Planning
oEnsure project plans adhere to PSO standards and contain level 1 and 2 milestones (to be defined with Project Manager)
Update project plan on weekly basis with Project Managers and save plan in appropriate folder as advised by Planning function leads
Resourcing
Ensure any new contractors on the project are set up with passes, computer accounts and other administrative requirements in line with New Starter Process
Ensure departing contractors relinquish passes, that computer accounts are disabled and that other administrative requirements are completed in line with Departure Process.
Meeting and Actions Management
Attend and document project team meetings, board meetings etc and follow up on subsequent actions.
General and Administration
Ad hoc administrative activities in support of the project
Ensure documentation is filed correctly on the server and central documentation system, ensuring information security is maintained effectively preventing unauthorised access to sensitive information.
Ensure timely completion of phase gateway deliverables.
